Understanding the Weekly Pay Cycle

To ensure you receive your payment on time, please submit your timesheet—whether online or paper—by 6 PM on Friday of the week you worked. Payments are processed one week in arrears, meaning you’ll receive your wages the following Friday

Late Submissions: Any timesheets submitted after the 6 PM Friday deadline may not be processed until the following pay cycle, which could result in a delay in payment. For detailed guidance on how to submit your timesheets correctly, please refer to the Timesheet section below.

Understanding Your Holiday Pay

At SENDhelp, we want to ensure you have full clarity on how your holiday pay works and how you can access it when needed. It is a legal requirement that a portion of your gross pay (12.07%) is treated separately as holiday pay.

By default, Swift Employment Solutions will retain this portion of your earnings so that you can request it when you are not working, such as during school holidays or personal time off.

How to Manage Your Holiday Pay

Option 1: Retaining Holiday Pay (Default Option)

  • A portion of your salary will be set aside each week.
  • You can request to withdraw this saved holiday pay whenever needed, providing financial security during breaks.

Option 2: Receiving Holiday Pay Weekly (Opt-Out Required)

  • If you prefer to have your holiday pay included in your weekly wages, you must opt out via the Swift online portal.
  • To opt out please use the Swift online portal or speak to Swift directly info@swiftemployment.co.uk

Important: Even if you choose to receive holiday pay weekly, it will still be itemised separately on your payslip due to payroll regulations. This does not mean that funds are being deducted—it simply ensures transparency in your earnings breakdown.

Timesheets

For more information about Timesheets, please select one of the options below.

Online Timesheets

1. Receive Your Login Details

  • You will receive your Timesheet Portal login credentials on the first day of your placement.
  • These login details will remain the same for all future placements.

2. Enter Your Hours Correctly

  • You will either be on a daily rate or an hourly rate:
    • Daily Rate: Select Full Day, Half Day, or Zero Day for each working day.
    • Hourly Rate: Enter the exact hours worked, including any breaks.

3. Complete Your Timesheet Daily

  • Ensure you fill in your timesheet accurately for each day worked.
  • Double-check all entries before pressing the Submit button.

4. Ask for Help If Needed

  • If you are unsure about how to fill in your timesheet, contact Payroll before submitting.
  • Once submitted, timesheets go directly to the school, making corrections more difficult.

5. Submit Your Timesheet by the Deadline

  • It is your responsibility to submit your timesheet correctly and on time.
  • Deadline: 6 PM every Friday of the week worked.
  • Late submissions may not be processed until the following week, which could delay your payment.

Paper Timesheets

1. Receive Your Timesheet

  • You will receive a PDF of the paper timesheet via email along with your placement confirmation.
  • Print a copy to complete at the end of your working week or at the end of the day for shorter placements.

2. Enter Your Hours Accurately

  • You will either be on a daily rate or an hourly rate:
    • Daily Rate: Select Full Day, Half Day, or Zero Day for each working day.
    • Hourly Rate: Enter the exact hours worked, including any breaks.
  • Ensure you total the full amount of hours and/or days worked.

3. Get Your Timesheet Signed

  • The timesheet must be signed by a competent person at the school, such as:
    • A teacher
    • The person who shows as ‘reporting too’ on your placement confirmation email
    • The school office

4. Submit Your Timesheet by the Deadline

  • Email the completed and signed timesheet to payroll@send-help.co.uk.
  • Deadline: 6 PM every Friday of the week worked.
  • Late submissions may not be processed until the following week, which could delay your payment.
